We’re looking for a motivated, computer-savvy Administrative Assistant. Students and recent graduates are welcome — prior ERP experience is not required.
1. Executive Summary & Purpose
Part Africa Madina, powered by AidRigs, is seeking an Administrative Assistant to bridge daily in-store activity
with AidRigs' Odoo ERP system. This role is best suited to a young professional with business aspirations and
strong computer/IT acumen — someone comfortable learning new software quickly and translating what
happens on the shop floor into clean, timely digital records. For a candidate still in school, this role can be
structured as a paid internship, with schedule flexibility discussed at interview.
2. Core Responsibilities
Pillar I: Store-to-ERP Translation (Primary Function)
• Log daily sales, stock movements, and customer orders into Odoo ERP accurately and on the same day they
occur. Coordinate ERP transactions with HQ and other ERP “companies”.
• Reconcile in-store activity — cash sales, walk-in orders, part requests — against ERP records; flag and
correct discrepancies immediately.
• Maintain organized digital records of inventory counts, pricing, and customer transactions.
• Support the franchise owner in keeping ERP data complete and audit-ready at all times.
Pillar II: Administrative & Office Support
• General administrative duties: filing, correspondence, basic bookkeeping support, and scheduling.
• Assist the franchise owner with day-to-day store paperwork and documentation.
• Maintain an organized, professional front-of-store presence.
Pillar III: Customer & Communications Support
• Handle walk-in customer questions and phone/WhatsApp inquiries professionally, in fluent English.
• Escalate part inquiries or order issues to the franchise owner, or the relevant AidRigs contact, when needed.
• Represent Part Africa Madina's brand and customer-service standards at all times.
Pillar IV: Learning, Growth & Internship Pathway
• This role is intentionally structured to build ERP, business-operations, and customer-facing skills from the
ground up — prior ERP experience is not required.
• Current students may take this role as a for-credit or informal internship; schedule and stipend structure can
be adapted to class commitments and discussed case-by-case at interview.
• Strong performers may be considered for expanded responsibilities and compensation review as the Madina
franchise grows.
3. Schedule & Compensation
This role is live as of September 24, 2026 and shall remain posted until filled.
• Initial schedule: Monday–Friday, 12:00 PM–4:00 PM (4 hours/day; may extend based on store needs), plus
Saturday, 8:00 AM–2:00 PM (6 hours) — approximately 26 hours/week.
• On-site presence at the Part Africa Madina store is required for the full schedule including more hours than
those explicitly listed; this is not a remote position.
• Compensation: $200 USD per month during the initial phase, reviewed as responsibilities and hours
expand.
• Internship candidates: schedule and stipend structure may be adapted to accommodate class schedules —
discussed at interview.
4. Key Qualifications & Non-Negotiables
• English fluency (non-negotiable): must be very fluent in both spoken and written English — assessed
directly during screening.
• Computer/IT acumen: comfortable navigating computers and business software, and learning new systems
quickly; a practical computer-skills test is required before any offer is made.
• Education: enrolled in or recently completed tertiary education (business, IT, administration, or a related
field). Current students are welcome to apply for the internship track.
• Attention to detail & reliability: since this role exists to accurately translate physical store activity into digital
records, precision and follow-through are essential.
• Professionalism: CV quality — clarity, formatting, and written English — is used as an initial screening

• Availability: able to commit to the fixed in-store schedule, including every Saturday.
5. Screening & Selection Process
• CV review — clarity, formatting, and written English quality are assessed as an initial indicator of capability.
• Computer skills assessment — shortlisted candidates complete a practical test of computer/IT proficiency.
• English fluency check — spoken and written English assessed directly, via interview and a short written
exercise.
• Interview — with the Part Africa Madina franchise owner.
